Note: For instructions on how to onboard locations via API, please refer here.
Best practice: Prior to proceeding with the steps outlined in this article, you must first ensure that you have already obtained consent from the brands to track transactions at their locations. Not doing so is a direct breach of contract with the card schemes who will conduct routine checks to ensure compliance. You can read more info here regarding brand consent.
1. First, you need to make sure the brand has already been created in your account and assigned to the correct program.
-
- Refer here on how to create/edit a Brand. The Brand object is used to aggregate different locations that a brand operates at and has given consent for you to track transactions from.
Best practice: When creating a Brand, make sure you have the Brand name as the registered trading/“Doing Business As” (DBA) name of the brand. Delays in onboarding may occur due to a mismatch in company name vs. trading/DBA name.
2. To add a location, select a Program from the Programs page, which will then open the Locations page that lists all the brand locations associated with the selected program.
3. Click the ‘+ Add locations’ button in the top right corner and then select a brand from the ‘Your brands’ list. You will then have 2 ways to add a location:
-
- via the unique brand location feature -> Continue to Step 4
- create a new location from scratch -> Skip to Step 5
4. With the unique brand location feature, you will see two drop-down menus after selecting a brand from the 'Your Brands' List:
-
-
- Already added
- Locations from the selected brand that are already onboarded to your program will be listed here.
- Available
- Any new locations that you can be onboarded are found here.
- Already added
-
Select all or specific locations and then click ‘Add locations’. Now skip to Step 8.
Note: You can use the search bar to quickly narrow down to your preferred location(s) by address, city, country code, postcode or state code.
5. If the location(s) you wish to add cannot be found in the ‘Available’ dropdown menu, you can manually create them. To do this, click on ‘+ Add new locations’ within the light grey box with the brand name.
6. Enter the requested information (below) about the location and click ‘Create’.
-
- Brand
- Address, city, postcode and country relating to the location
- Merchant ID (MID)
Best practice: Even though including a MID is an optional field, we always recommend submitting a MID when onboarding as it greatly improves the match rates with the card schemes and speeds up the onboarding timeline. If you don’t have a merchant’s MID in hand or the merchant does not know it, a quick solution is to do a virtual card test transaction to obtain the MID, refer here for more information on virtual cards.
7. Repeat from Step 3 if you have more locations to add.
8. Once you have added all the locations, remember to click the ‘Sync locations’ button in the top right corner next to the ‘+ Add location’ button.
- You must do this to initiate the syncing process so that all of the newly added locations are submitted to Visa, Mastercard and American Express for mapping so that Fidel can track card transactions from each location. Failure to click the ‘Sync locations’ button will result in an indefinite delay to the onboarding timeline as the new locations will remain in the idle status.
9. Time to onboard locations is dependent on the volume of locations needing onboarding.
Rough estimates associated with onboarding with Mastercard are listed below but these are based on the assumption that all the onboarding information you’ve provided for a given location matches those on the card schemes’ record. Visa locations will be enabled roughly 4-5 days thereafter:
-
-
- 1-100 locations: ~ 2 business days
- 101-500 locations: ~ 3 business days
- 501-1000 locations: ~ 4 business days
- 1000+ locations: ~ 5 business days
- 10,000+ locations: ~ 8-10 business days
-
